Multiple pages

Page indicators

At the bottom left of the screen are the page indicators which show which page or pages are being viewed at present.

The pages on show are in reverse video. To view a different page(s), place the cursor over the appropriate indicator and click. Two pages will be shown at a time if the 'Document setup' (under the 'File' menu) has been set to 'Double-sided' and 'Facing pages'.

Moving objects between pages

Method 1:

Select the object to be moved, and 'Cut' it using the 'Edit' menu. Change to a different page and 'Paste' the object. Note that the object appears in the same position on the page as it was on the old page.

Method 2:

Select the object to be moved, and use the mouse to move it off the page (click and drag). Change to a different page and move the object into the required position using the mouse.

Note that the two methods have slightly different effects if the object is a threaded text block. In the first case, when the block reappears it will have been unthreaded from the remainder of the story; in the second case, the threading remains intact.

Adding and removing pages

Adding or removing pages to a document is done via the 'Layout' menu. Pages are renumbered if necessary. Note that if adding blank pages to the middle of a story, the threaded text will skip the new page(s).

'Continued' lines

When stories run over more than one page, it is helpful to add 'Continued on page...' at the bottom of one page, and 'Continued from page...' at the top of the continuation. PageMaker provides a facility for doing this:

Using the 'Pointer' tool, select the text block to which you wish to add the 'Continued...' message. Then click on 'Utilities', 'Plug-ins', 'Add cont'd line...'. You will see a dialogue box asking you to choose the top of the text block (this will be a 'Continued from...') or the bottom ('Continued on...'). Choose one or the other and click 'OK'.

PageMaker creates a new text block containing the appropriate message and places it above or below the existing block, which may be moved or shrunk to make room.

Notice that the new block is completely self-contained, and is not threaded to any other block. This means that if you alter the main body of the text, such that the page break point moves, the 'Continued...' text remains fixed to the top or bottom of the page, which is what you want. However, you should be aware that this additional text is not dynamic, i.e. if you alter the document in a way that changes the page numbering, you will have to redo the 'Continued...' lines (which means deleting all the old ones first, otherwise you'll get doubles.)
 

Master pages

The master page indicators are marked 'L' and 'R' on the screen.

Any objects placed on the master pages will appear on every page of the document (except where hidden - see below). They are widely used for:

Note that if 'Double-sided' has been chosen, the left and right master pages must be set up separately.

Page numbers

To make page numbers appear on every page, call up the master pages and, using the 'Text' tool, position the cursor at the point on the page you want the number to appear.

Then press <Ctrl> <Alt> P (PC) or <Command><Opt>P (MAC).  The page number displays as 'LM' on the left master page and 'RM' on the right master page, but will appear correctly on the actual pages.

Hiding master items

To make the master items invisible on a particular page, switch to the appropriate page, then select 'Layout' and click on 'Display master items' (which is usually ticked).

Margins, columns and guides

To set the margins, columns and guides for a whole document, alter those on the master page(s), preferably before importing text.

Multiple master pages

A new feature of PageMaker 6.5 is the ability to define multiple master pages.  This enables the user to set up a number of different master pages, and each actual page in the document is allocated to one of the available masters.  This would enable, for instance, 'illustration' pages to have a different set up to 'text' pages, or 'chapter heading' pages to have their own masters.

A new PageMaker document has its own master page(s), even if they have not been defined, known as 'Document Master'.  By default, all pages in the document are based on this master.

To define new master page(s), select 'Window', 'Show Master pages' to bring up this roll-up:

Click on the arrow at the top right    and select "New Master Page".  This gives you:

Choose a name for the new master page and set the margins and column guides as required, then click 'OK'.  This can be done as many times as necessary, so the roll-up might look like this:

To place items on a particular master page, select L/R from the page numbers at the bottom of the screen, then click on the required master page in the roll-up.  This brings up the relevant master page(s) on the screen, which can then be edited as desired.

To apply particular master pages to pages in the document, first select the appropriate pages at the bottom of the screen, then simply click on the relevant master page in the roll-up.


Exercise

Open a new document and place the text from file guide.txt, using Autoflow to create new pages as necessary. Examine the text on each page to check that page breaks occur at suitable points, and alter them if necessary. Create two blank pages at the beginning of the document which will be used as a front cover and a 'Contents' page (these will be added later).

Use the Master pages to add -

to each page. Make these items invisible on the two leading blank pages.

Save your work as a Pagemaker file.
